Job Description

We are looking for an Administrative Assistant in the sales department of real estate leasing for a permanent full-time position, working 5 days a week.

Key Responsibilities

-Answering phone calls and client inquiries;
-Prioritizing and following up on requests effectively;
-Validating and correcting administrative information related to real estate transactions;
-Directing clients based on their specific real estate needs;
-Receiving phone calls and directing them to the appropriate professionals;
-Receiving calls and scheduling/confirming property viewing appointments;
-Managing correspondence related to real estate transactions;
-Redirecting postal requests and emails to the relevant departments;
-Coordinating follow-ups on requests delegated by the sales team;
-Managing office supplies and maintaining a comprehensive inventory;
-Handling office stationery needs and replenishment;
-Confirming appointments for professionals on a daily and weekly basis;
-Assisting with real estate accounting tasks;
-Performing any other related tasks as requested by the immediate supervisor;
-Maintaining the appointment calendar on Outlook.

Requirements

-DEP or ASP in secretarial studies or equivalent experience of at least 3 years;
-Fluent in French and English, both spoken and written;
-Proficient in Microsoft products (Word, Excel, Adobe Acrobat, and Outlook);
-3 years of experience in administration (mandatory);
-Fluency in French and English (mandatory).

Qualifications for the Position:

-Good understanding of real estate-related IT environments-Strong communication skills to interact with clients and sales professionals;
-Neat presentation and adherence to professional dress codes in the real estate sector;
-Positive attitude, customer service orientation, and a welcoming smile;
-Autonomy, resourcefulness, and initiative to solve problems efficiently;
-Ability to work in a team and manage multiple tasks simultaneously.
